Extract Data from Scanned Deeds with ChatGPT

1. Go to chatgpt.com and sign up or log in
2. You'll see the main chat interface with a text input at the bottom
3. Look for the paperclip icon (📎) or an image icon next to the input field. this is the file upload button

What you should see: The ChatGPT chat interface with an input area at the bottom and an attachment icon. Troubleshooting: If you don't see an attachment icon, you may be on the free tier without image upload. Upgrade to Plus for image uploads, or copy-paste the deed text instead of uploading the image.

1. Make sure your scanned deed is saved as a PDF, JPG, or PNG
2. Aim for a scan resolution of at least 200 DPI for reliable reading. blurry images produce errors
3. If the deed is multi-page, you may need to upload it as separate images or a PDF

1. Click the paperclip/attachment icon in the chat input area
2. Select your deed file
3. After it uploads, type your extraction request in the input field:

This is a scanned deed. Please extract the following information:
1. Grantor name(s)
2. Grantee name(s)  
3. Full legal description (copy exactly as written)
4. Date of deed
5. Recording date and book/page or instrument number (if visible)
6. Any deed restrictions, covenants, or conditions mentioned

Format as a numbered list.

What you should see: Within 10-20 seconds, ChatGPT extracts and lists the data from the deed image.

1. Compare ChatGPT's extracted data against the original deed image for any critical fields, especially the legal description and grantor/grantee names
2. Legal descriptions must be exact. ask ChatGPT to "re-read the legal description and verify it exactly matches what's written, character by character" if you're uncertain
3. If the scan quality is poor and text was misread, highlight the section and ask: "The legal description starts at [beginning words]. please re-read it carefully"

1. Copy the extracted data from the chat
2. Paste into your title search notes, spreadsheet, or title platform
3. Any deed restrictions found should be noted for potential Schedule B inclusion
